What Are Notifications?

Email Notifications allow Owners and Admins to stay up to date on account activity by surfacing important information when they're needed. In-app notifications appear for Owners and Team Members, and new notifications will appear as a number inside a red circle over the bell icon.
 
 

Emails Notifications

To choose which email notifications to receive, use these steps:
  1. Click on the gear icon
  2. Then click on Settings
  3. Select the Email Notifications sub-tab.
 
Specific activity in your account will trigger email notifications to you. You can choose to either receive all, some or none of the emails:

  • All Emails - Click to slide the toggle on next to Turn on/off all email notifications
  • No Emails - Click to slide the toggle off next to Turn on/off all email notifications

Or click to check off (to receive) or uncheck (to stop receiving) the box next to any of these email notifications:
  • Invoices
    • A recurring Invoice is sent
    • A comment is added on an Invoice
  • Payments
    • An online payment is received for an individual Invoice (not applicable for Recurring Templates and Recurring Payments)
  • Estimates & Proposals
    • A comment is added on an Estimate/Proposal
    • An Estimate/Proposal is accepted
  • Projects
    • A post is made on a Project
    • A comment is added on a Project (under an existing post)
 

Access Notifications

To view your notifications, use the below steps:
  1. Next to your avatar/initials in the top left corner, click on the bell icon

  2. Scroll through your messages and click on any notification to go to that relevant area (e.g., send a message to a Client).

Notes:
  • Notifications turn from blue to white when you’ve clicked on it
  • Notifications older than 5 months are automatically deleted for you
  • The number of notifications in the red dot disappears after you click on the bell icon to open your notifications
 

Notification Types

The below are events that can be triggered along with their corresponding message:
 

Invoices

  • Invoice not Viewed - [Client] still hasn’t viewed the invoice you sent last week. Follow-up
  • Invoice is Overdue - [Client] is now late to pay invoice [number] ([amount]). Enable late reminders
  • Invoice Comment Added - [Client] commented on invoicel [number] ([amount]) - [Comment preview]
 

Payments

  • FreshBooks Payments (WePay) Setup - Complete your Online Payments Setup to make sure your money isn’t waiting. Complete setup
  • Checkout Link Payment Successful - New payment for [Checkout Link]. View Receipt
  • Invoice Paid with Online Payments - [Client] has made a payment on invoice [number]. The invoice is now paid in full. Cha-ching! Send a thank you
  • Invoice Deposit Paid with Online Payments - [Client] has made a deposit of [amount] on invoice [number]. Send a thank you
  • Invoice Payment Schedule Paid with Online Payments - [Client] has made a payment of [amount] on invoice [number]. Send a thank you
  • Invoice Online Payment Declined - [Client] has attempted to process a payment of [amount] on invoice [number]. This payment was declined. Please contact your client
  • Invoice Online Payment Error - [Client] has attempted to process a payment of [amount] on invoice [number]. This payment was unsuccessful. Please contact FreshBooks
  • Client removes Credit Card from Recurring Template - [Client] has removed their credit card from a recurring template. View Recurring Template
 

Bank Connections

  • Bank Connection Failure - There’s an issue with a connection to [Bank Name]. Manage Bank Connections
  • Bank Connection Expenses Imported - [Number] Expenses were imported this week. Magic.
 

Estimates & Proposals

  • Estimate/Proposal not Viewed - [Client] still hasn’t viewed the estimate/proposal you sent last week. Follow-up
  • Estimate/Proposal Comment Added - [Client] commented on estimate/proposal [number] ([amount]) - [Comment preview]
  • Estimate/Proposal Accepted - [Client] accepted estimate/proposal [number] ([amount]). Create a Project
  • Proposal Signed - [Client] signed and accepted proposal [number] ([amount]). Create a Project
 

Projects

  • Project Invite Received - [Person] added you to the project [Project]
  • Project Invite Accepted - [Person] joined [Project]. View Project
  • Project Post Added - [Person] posted a new message in [Project]
  • Project Comment Added - [Person] commented on [Creator]’s post in [Project]. / [Person] commented on your post in [Project]
  • Project File Added - [Person] added files to [Project]
 

Other

  • Download the Mobile App - Get the mobile app to know when an invoice is paid and more. / Get the mobile app to track time and submit expenses. Download the app
  • Team Member Accepted Invite - [Person] joined your team

  • OneSaas Error - Hmm, something is wrong with your integration to OneSaas. Contact FreshBooks Support
  • OneSaas Incorrect Tax Mapping / Invalid Tax Code - Heads up, an invoice didn’t sync to OneSaas because a tax could not be matched. Update settings
  • OneSaas Missing Currency Code - Heads up, an invoice didn’t sync because a currency is missing in OneSaas. Open OneSaas to create it
