The account profile is where you can manage your profile photo or avatar, your first and last name, your login credentials to access your FreshBooks account including all businesses associated to your email, your two-factor authentication settings, and your preferences including time zone preference, language, and more.

Access Account Profile
To access your account, use these steps:
- Select your profile picture or initials in the top right corner
- Then select Account Profile.
Account Profile
The Account Profile section is explained in detail below:
- Profile Photo / Avatar - Upload a photo that is 80 x 80 pixels in GIF, JPEG, PNG, or TIFF format to be used as an icon throughout your account, if no photo is uploaded, your initials from your name are used instead
- Email Address - The email used to log into your FreshBooks account to access all businesses associated with this email

Password - The password used to log into your FreshBooks account
- Password must be 12 characters or more, with at least 1 uppercase letter, 1 lowercase letter, 1 number, and 1 special character
Account Verification Methods
The Account Verification Methods section allows you to access your current two-factor authentication (2FA) settings:
- Verify via email - This is activated by default, a six-digit code is emailed to you every time you log in, or every 30 days if you’ve selected Remember this device when logging in
- Verify via authenticator app - If activated, enter a generated six-digit authentication code every time you log in, or every 30 days if you’ve selected Remember this device when logging in

Log out of FreshBooks on all devices - Select this to sign out of your FreshBooks account on all devices, including mobile devices
- This will also remove all remembered devices and require a 2FA code on your next login for each device
Preferences
The preferences section is explained in detail below:
- Time Zone - Choose the time zone that you are logging time entries in, owners can set their own business time zone in Basic Information instead
- Time Format - Choose how time is displayed, in 12 hour or 24 hour

Language - Choose to have your entire FreshBooks interface in either:
- English (United States)
- English (Canada)
- English (United Kingdom) - Estimates are renamed to Quotes in your account
- Español (Latinoamérica)
- Français
- Loading Screen Display - Choose between viewing Show FreshBooks logo (no quotes) or Show inspirational quotes while FreshBooks loads
Change Email Address and Password
To update the email address and/or the password associated with your FreshBooks account, use any of the below options applicable to you:

FreshBooks Login - If you log into your FreshBooks account with a dedicated FreshBooks login, review FreshBooks Email and Password
- Forgot Password - If you've forgotten your current password and you can't log into your FreshBooks account, reset your password first

Sign in with Apple or Sign in with Google Login
- Set Up Sign in with Apple or Google - If you want to set up your FreshBooks account to log in using your Apple ID or Google account instead, review How do I log in? instead
- Existing Sign in with Apple or Google - If you log into your FreshBooks account using Sign in with Apple or Sign in with Google, review Sign in with Apple and Google Email and Password
FreshBooks Email and Password
If you log into your FreshBooks account using separate log in credentials, you can change the email address or password from within your FreshBooks account by re-entering your current password. If you've forgotten your current password, you can reset the password first before completing the below steps:
- Select your profile picture or initials in the top right corner
- Then select Account Profile
- Next, select either:
- The Change email address link
- Then enter the new email address and the current password
- The Change password link
- Then enter the current password and enter the new password
- The Change email address link
- Select Save Changes to finish. If the email address was updated, a verification email will be sent to the new email address. Select the Verify My Email button inside the verification email to confirm. Once confirmed, the account will be updated to the new email you've entered.
FreshBooks Email and Password Notes: An unique email is required for each FreshBooks account - emails that are aliases or variations using the plus sign (+) are not considered unique.
Sign in with Apple or Google Email and Password
If you log into your FreshBooks account using Sign in with Apple or Sign in with Google, you can manage your login with the following options:
- Set up Sign in with Apple or Google - To start logging into your FreshBooks account using your Apple ID or Google account instead, review How do I log in? instead
- Reset Apple or Google Password - If you've forgotten your Apple ID or Google account password, reset the password with Apple or Google directly instead
- Add Extra Password - If you created your FreshBooks account using Sign in with Apple or Google and you want to add a separate password to log into FreshBooks with, review Add Extra Password with Sign in with Apple or Sign in with Google
- Disconnect Sign in with Apple or Google - If you need to update or remove the Apple ID or Google email linked to your FreshBooks account, including switching over to logging into FreshBooks with your email and a FreshBooks password, review Disconnect Sign in with Apple or Google
Add Extra Password with Sign in with Apple or Sign in with Google
If your account was created using Sign in with Apple or Sign in with Google, and you need a separate password to log in with FreshBooks instead of your Apple or Google password, use these steps. This will not change your Apple or Google Sign In password, and instead, give you a second password in case Sign in with Apple or Google doesn't work:
- Log into FreshBooks using either the Sign in with Google or Sign in with Apple option
- Select your profile picture or initials in the top right corner
- Then select Account Profile
- Next, select the Change password link under the password field
- Additional fields will appear under your Apple or Google password, enter your new password in the fields
- Select Save Changes to finish. You can now sign in with both FreshBooks and Apple or Google.
Disconnect Sign in with Apple or Google
If you signed up for FreshBooks using Apple or Google, you’ll need to disconnect your Apple ID or Google account to change your email or set a password so you can continue to sign in through FreshBooks. You can also use these steps to replace your current Apple or Google account with a different one for your FreshBooks account. Use the below steps to disconnect:
- Log into FreshBooks using either the Sign in with Google or Sign in with Apple option
- Select your profile picture or initials in the top right corner
- Then select Account Profile
- If you've never added a FreshBooks password before, change your password first by selecting the Change Password link, then select Save Changes
- Next, select the Disconnect Google Account or Disconnect Apple Account link
- Select OK to confirm
- If you'd like to change the email address as well, select the Change email address link and enter a new email and select Save Changes to finish
- Sign in with Apple or Google will now be disconnected from your FreshBooks account and you can use your FreshBooks login credentials to sign in every time instead. If needed, use the steps in How do I log in? to update to your new Apple or Google email as your new login afterwards.
FAQs
How do I transfer my FreshBooks account to someone else?
If you've sold your business, or need to transfer your FreshBooks account to a different team member to make them the new business owner, review the following before considering a transfer of ownership:
- Financials - If you need to keep your current financials separate from the new owner's financials, it may be best for the new owner to create a new FreshBooks account instead

Multiple Businesses - All businesses associated with your login will be associated with the new owner of the account
- If you need to separate businesses so they are under different logins instead, reach out to our Support team first

Subscription Billing - The new owner will be responsible for updating the current payment information for the FreshBooks subscription to their new payment information
- If you need your billing removed before the account is transferred, reach out to our Support team first
- Online Payment Accounts - If your business is processing online payments through a connected payment gateway, you will need to reach out to the payment gateway directly to also update ownership details
- Time Entries - Any time entries logged by you will still be associated with the new owner of the account
When ready, you can transfer your account to a new owner with these steps:
- In your Account Profile, update the First and Last Name to the new owner's name
- Then select Change Email Address
- If your account is set up to sign in with Apple or Google, disconnect the account first
- Next, select Save Changes
- A verification email will be sent to the new owner. Have the new owner reset their password, then complete the verification email to finish updating the email associated with the FreshBooks account.
