How can I import transactions from my bank account?

Connect your bank or credit card account using Bank Connections to import your transactions automatically instead of creating manual bank transactions or expenses. Bank Connections, also known as bank import, is made possible through our third party connectors Plaid, Salt Edge, and Yodlee, which support most major bank and credit card accounts worldwide. These transactions are imported into your account through a mix of data sharing methods like Open Banking and data extraction depending on the financial institution.

 

Bank Connections can pull up to a maximum of 30 - 365 days of activity, if you want to import older transactions, review How do I import expenses from a file? instead.

 

If you want to use Bank Reconciliation and Bank Connections is not available in your region or not available to use with your financial institution, you can create a manual bank account instead.

 

Before You Begin

Before you set up a bank connection, review the following:

  • Maintain Connections - Check your bank connections on a regular basis to ensure your transactions are consistently importing with no errors or actions required by you
    • Auto Refresh - Some banks will require you to manually refresh the connection to bring in new transactions each time instead of auto refreshing
    • Frequent Verification - Some banks will require you to complete security verification regularly before new transactions are imported in
    • New Transactions - Transactions may not appear right away, and the time to import transactions will vary by bank
    • Missing Transactions - Any missed transactions that cannot be imported in by your bank connection can be added in manually through importing CSV files anytime
  • Categorize Expenses - Use bulk actions to organize and categorize your expenses
  • Match to Reconcile - If using bank reconciliation, match imported transactions regularly to keep your accounting reports up to date
  • Money-in and Money-out Transactions - When using Bank Connections, certain transactions will appear in specific sections of your FreshBooks account:
    • Money-in Transactions - Transactions like deposits are visible in the Bank Rec section only
    • Money-out Transactions - Transactions like bill payments and expenses are visible in the Bank Rec and Expenses sections
    • Review how unmatched transactions impact your reports when doing bank reconciliation
  • Unsupported Bank Connections - Crypto, investments, line of credit, and loan bank accounts are not supported with Bank Connections and Bank Reconciliation

Ensure that the appropriate country is selected in your Basic Information settings, and use the below chart to determine which bank connection partner supports your country. Then select the relevant link(s) to get started with bank connections.
