How do I transfer my Gusto account to FreshBooks Payroll?

For businesses that already have a current Gusto payroll account, you can transfer your Gusto account to FreshBooks Payroll powered by Gusto. You’ll authorize your Gusto account, and if eligible, complete the transfer by mapping your team members in Gusto to team members in FreshBooks.

 

Authorize Your Gusto Account

To move your existing Gusto payroll account over to FreshBooks Payroll, you can transfer the account through either option:

 

From Set Up Payroll 

If you’re trying to set up FreshBooks Payroll and your FEIN is in use by Gusto, this will require you to transfer your account from Gusto to FreshBooks Payroll with your existing Gusto account’s data. To authorize your Gusto account, use these steps:

  1. While confirming your payroll eligibility, if the pop-up indicates a Gusto account was found with your FEIN, select Continue to transfer your account
  2. For the question Are there any payrolls missing from your Gusto history this year?, confirm if you’ve paid your team outside of Gusto in the current year, then select Next
    1. If you select Yes, you will be required to add historical payroll after completing your account transfer by contacting our Support team
  3. Next, confirm the transfer by selecting the Continue to Setup button
  4. In the Payroll section, next to Transfer Gusto account, select the Start button
  5. Then in the Authorize FreshBooks to access your account section, select the Continue to Gusto.com button
  6. On the Gusto login page, if prompted, enter your Gusto account’s Email and Password, then select Continue
  7. Then select the Authorize button. Next, review Transfer Gusto Account below to complete your transfer.

 

From Gusto App

If you already have a Gusto account and/or use the Gusto app to integrate with FreshBooks, this will require you to transfer your account from Gusto to FreshBooks Payroll while preserving your Gusto account’s data. To authorize your Gusto account through the Gusto app, use these steps:

  1. In your FreshBooks account, select the Payroll section
  2. Next to the Manage your payroll right in FreshBooks banner, select the Set Up Payroll button

  3. You’ll be redirected to Gusto’s login page, select Authorize to confirm the connection between FreshBooks and Gusto. Next, review Transfer Gusto Account below to complete your transfer.

 

Transfer Your Gusto Account

Once your Gusto account has been authorized with FreshBooks for the transfer to FreshBooks payroll, complete the rest of the following steps:

  1. Once authorized, your Gusto account will be reviewed to determine if it’s ready to transfer
  2. Depending on the results of the review, select either:
    1. This account isn’t ready to transfer yet - Your current Gusto account includes features that aren’t supported for transfer, review Ineligible Transfer Reasons for details and select the Contact Us button to reach out
    2. Your account is ready to transfer - Select the Transfer Account button to finalize the transfer, this action is permanent and cannot be undone
  3. Once successfully transferred, select Continue to match your team to complete the setup
  4. In the Match team members section, review the matches with any of the following:
    1. Matched Automatically - Any team members with an email address from Gusto are matched automatically to the same email address of the team member in FreshBooks
      1. Any deleted team members will also be matched and undeleted as part of this matching, with the role set to Unassigned
      2. If the FreshBooks team member has an employee role, they must be matched an employee in Gusto, or a contractor role that must be matched with a contractor in Gusto
    2. Create New Team Member - If the Gusto team member does not exist in FreshBooks yet, select Create New Team Member from the dropdown and if needed, enter the team member’s email address
    3. Select A Team Member - If the Gusto team member already exists in FreshBooks, select the team member in the dropdown to match them
  5. Once matched, or if no team members are available in your Gusto account, select Save and Continue
  6. Then select Confirm and Continue to finish your account transfer. You can now submit your first payroll run in FreshBooks Payroll. Billing for FreshBooks Payroll begins when you run your first payroll.


Note: If you receive a notification that a team member’s info did not sync after transferring your Gusto account to FreshBooks Payroll, review these steps to fix the sync issue.

 

Ineligible Transfer Reasons

When transferring your Gusto account over, certain features in Gusto may prevent you from completing your transfer to FreshBooks Payroll. If you receive a message during the transfer indicating The account isn’t ready to transfer yet, your Gusto account has one or several reasons listed that is preventing the transfer:

  • If the business has at least 1 employee, this must be added in Gusto before proceeding with the transfer to FreshBooks Payroll
Managed BenefitsBusiness is enrolled in benefits that must be disconnected in Gusto first before transferring to FreshBooks Payroll.
Partner OverlapFEIN is in use by another provider that integrates with Gusto, this must be disassociated first.
Suspended BusinessThe business’ Gusto account is deactivated, reactivate to complete your transfer to FreshBooks Payroll.
Time Off PoliciesThe business has active time off policies that must be deactivated first.

If you’re using an unsupported feature that is required for your business, you may want to remain on Gusto instead of using FreshBooks Payroll.
